1. Purpose
This application (“App”) is used internally by staff of My Cake Café to manage
the end-to-end workflow of cake orders, including:
- Drafting orders
- Confirming orders
- Cooking/baking cakes
- Decorating cakes
- Packing and preparing cakes for pickup or delivery
The App is not intended for public or customer use and is operated only on
internal devices or systems authorized by My Cake Café.
2. Information We Collect
We collect only the minimum information needed to support internal operations.
2.1 Staff Information (Internal Users)
The App may collect and store the following staff information:
- Name or username
- Work role or position (e.g., baker, decorator, cashier, manager)
- Activity logs related to order handling and workflow steps
2.2 Order and Workflow Data
The App may store internal order details such as:
- Cake type, flavor, size, and custom options
- Ingredients and special notes (e.g., “less sugar”, “no nuts”)
- Order status and timestamps (draft, confirmed, cooking, decorating, packing)
- Internal comments or customer preferences related to the cake
Customer information is kept minimal and may include a name, contact note, or reference code
if entered by staff for workflow purposes.
2.3 Device and System Logs
To improve system stability and security, the App may collect:
- Internal device or session identifiers
- Technical logs and error reports
3. How We Use the Information
All information collected is used only for internal purposes, including:
- Managing and tracking cake orders and production workflow
- Assigning and tracking tasks between staff members
- Improving operational efficiency and quality control
- Maintaining accountability and audit trails for internal processes
4. Data Storage and Security
My Cake Café takes reasonable steps to protect stored data against unauthorized access,
misuse, or loss. In particular:
- Data is stored on secure, access-controlled internal systems or private servers.
- Access is restricted to authorized staff members with valid accounts.
- Passwords and sensitive authentication data are protected using modern encryption or hashing methods.
- Regular backups may be maintained for operational continuity.
5. Data Sharing
We do not sell, rent, or share App data with external third parties for
marketing or advertising.
Data may be accessed internally by management or system administrators solely for the
purposes described in this policy, such as auditing, troubleshooting, or improving operations.
6. Staff Privacy & Accountability
- Each staff member is responsible for keeping their login credentials secure and private.

Actions taken in the App may be logged (e.g., who changed order status) to ensure
transparency and prevent misuse.

Staff should avoid entering unnecessary personal or sensitive information into free-text
fields or notes.
7. Data Retention
Order and workflow data may be retained for operational, reporting, and audit purposes for
up to 12 months, after which it may be archived or deleted, in line with
internal policies and technical constraints.
8. Staff Rights (Internal Users)
If you are a staff member using the App, you may:
- Request to review or correct your stored personal staff information.
- Request deletion or deactivation of your staff account, subject to operational needs.
These requests can be made through your manager or the system administrator. Some logs or
records may need to be retained for audit or legal reasons even if a staff account is
deactivated.
9. Changes to This Policy
My Cake Café may update this Privacy Policy from time to time to reflect changes in the App
or internal processes. Any significant changes will be communicated to staff, and the “Last
Updated” date at the top of this page will be revised.
